Marketing & Media Requests


Are you interested in promoting your organization or event in Rec Sports facilities? Please submit your original advertisement for approval. Rec Sports does not create content for outside organizations wishing to advertise with us. Use of the Rec Sports logo is reserved for the Division of Recreational Sports, Sport Clubs, and our authorized partners. A list of policies and procedures is listed below.

General Review Process

The following guidelines apply to all requests:

  • Once your request is submitted, Rec Sports staff will communicate via email all approvals, edits, or denials of requests
  • Marketing requests should align with the Rec Sports Play Hard. Get Fit. Live Well. mantra or to the campus experience
  • Rec Sports is not responsible for monitoring copyright infringement of advertisements submitted by external organizations
Marketing and media requests

Media Options

Request permission to take pictures or film in our facilities.

  • No approval will be granted for photography or video in restrooms, locker rooms, or pools during building hours; special reservations outside building hours are required for photography and video in these areas (please visit our Reservations and Rentals page for more information)
  • Approval by the Marketing and Communications Department is required to take pictures or film in Rec Sports facilities
  • All subjects should provide model release consent prior to production
  • Subjects in photo/video must follow all Rec Sports policies and procedures (including dress code) unless granted written permission
  • Photo shoot or filming (including equipment) may not disrupt scheduled activities or block traffic flow in facility
  • Rec Sports logo or insignia may not be included in photos or video
  • Credit should be given to the University of Wisconsin-Madison Division of Recreational Sports in post-production
  • Please check in with Member Services on the day of production
  • Commercial photography or filming projects must be reserved through University Communications

Promote your event or organization on our Community Boards.

  • Posters and flyers may be posted on the Community Boards in Rec Sports facilities
  • Please submit your 8.5×11” or 11×17” poster or flyer via our online External Marketing Request form for approval
  • Please include a contact method or web address for more information in your advertisement
  • If approved, you will be asked to bring a printed copy of your poster/flyer to a Rec Sports Member Services Office (Rec Sports does not print for external organizations)
  • Approved posters/flyers are to be posted by Rec Sports employees only – unapproved posters/flyers will be taken down immediately
  • Posters and flyers may hang in Rec Sports facilities up to two weeks before event (please plan for at least two weeks to receive approval from Rec Sports)
  • Limit of one poster/flyer per facility

Connect with us on social media to promote your organization or event.

  • Rec Sports can help promote your organization or event on Facebook, Twitter, or Instagram
  • Please submit a description of your event or organization via the online request form for consideration
  • Rec Sports may assist by creating original content or by sharing your posts on social media

Request permission to set up a table or hold an event in our facilities.

  • Tables and chairs may be reserved by your organization
  • Please refer to our Reservations and Rentals page for a full list of policies regarding tabling in our facilities, including reservation fees and fundraising policies
  • Student organizations should observe the fundraising policies outlined by the Center for Leadership and Involvement (Rec Sports reserves the right to permit or deny fundraising activities within our facilities)
  • Outside organizations are not permitted to fundraise (directly solicit funds) within Rec Sports facilities
  • Organizations should align with the Rec Sports Play Hard. Get Fit. Live Well. mantra or to the campus experience

Promote your event or organization on the televisions in our facilities.

  • Please submit your 1280×580 pixels advertisement via our online External Marketing Request form for approval
  • Screen advertisements rotate every 10 seconds; therefore it is recommended that you limit main text to no more than three lines
  • Please include a contact method or web address for more information in your advertisement
  • Your ad may run for one week at a time, from Sunday through Saturday, and may not run two weeks in a row
  • Your organization may reserve a TV advertisement space up to two times per semester
  • We recommend using highly visual images to capture the attention of our members
